Company Setup

Configure your company's identity, branding, and preferences in the system.

Company Information

Navigate to Settings > Company Settings

  • Company name and tagline
  • PACRA registration number
  • TPIN (Tax Payer Identification Number)
  • NAPSA and NHIMA numbers

  • Physical address (street, city, province)

Branding

Upload logos and set brand colours

  • Primary logo (PNG, JPG)

User Roles & Access Control

Role-Based Access Control (RBAC) ensures users only see and do what they're authorised to.

ZRA Smart Invoice Setup

Set up ZRA compliance for tax-compliant invoicing.

1. Device Initialisation

Navigate to Settings > ZRA Integration

  • Enter your TPIN
  • Enter Branch ID and Device Serial Number
  • Click Initialise Device

2. Code Synchronisation

Pull reference data from ZRA

  • Standard Codes (tax types, units, payment methods)
  • Classification Codes (UNSPSC products/services)
  • Click Sync All Codes

Frequently Asked Questions

How long does the initial setup take?

The core setup (company settings, departments, positions, roles) takes 2-4 hours. Employee onboarding is an ongoing process as you add staff.

Can employees update their own details?

Yes! Employees can update personal information, skills, qualifications, and banking details through their self-service portal. Department and position changes require HR.

What happens during the probation period?

New employees start with "probation" status (default 3 months). After completing onboarding, their status changes to "active". Probation length is adjustable per employee.

Are the tax tables up to date?

Yes, the system uses current Zambian PAYE tax brackets and statutory deduction rates (NAPSA, NHIMA). These are updated when government rates change.

Is two-factor authentication available?

Yes! MFA via email OTP is available and can be enabled for any user account. Enterprise plans also support SSO with SAML and OAuth2.

Can we customise the onboarding tasks?

Absolutely. While 11 tasks are auto-created, you can add unlimited custom tasks with specific categories, due dates, and assignees tailored to your organisation.

How many users can we have?

There is no limit on the number of users. Add as many employees, managers, and administrators as your organisation needs.

What if an employee forgets their password?

Employees can use the "Forgot Password" link on the login page. A reset email is sent with a secure link that expires in 1 hour.
